About this Position

The Payroll Accountant is responsible for the accounting and analytical functions related to payroll, benefits, and employee expense programs. This is not a payroll processing role - payroll operations are managed by HR. This position ensures that payroll data ties to the general ledger, monitors tax compliance across multiple states, and provides the reconciliation and analysis that keeps financial reporting accurate as the company grows.

This role also manages garnishments and wage attachments at scale. Approximately 7% of our current workforce has an active garnishment, and that number is expected to grow as we expand into new states. Many of our employees work in economically underserved areas, and accurate, timely garnishment processing has a direct impact on their financial well-being.

Primary Responsibilities

Payroll Accounting & Reconciliation

  • Reconcile payroll to the general ledger each pay period and identify and resolve variancies
  • Monitor quarterly 941 filings and ensure accuracy across all active states
  • Track state and local tax registrations and compliance as the company enters new jurisdictions
  • Serve as the accounting point of contact for payroll-related questions, working closely with HR without duplicating payroll processing responsibilities

Benefits Accounting & Audit Support

  • Take the lead on accounting support for the annual 401(k) audit and workers' compensation audit
  • Prepare or support preparation of Form 5500 filings
  • Support ESOP implementation and ongoing administration as the plan matures
  • Expense Management & Credit Card Program
  • Administer the company credit card program and expense reimbursement process through Paylocity
  • Review and approve employee expense submissions for policy compliance and proper coding
  • Maintain documentation and training materials for cardholders and approvers

Garnishments & Wage Attachments

  • Manage the garnishment process: intake, setup in Paylocity, compliance with state-specific rules, and ongoing monitoring
  • Build processes for garnishment administration that can scale as the company grows from 500 to 750+ employees across new geographies.
  • Ensure timely and accurate responses to garnishment orders, levies, and support withholdings notices

Other related duties as assigned to support the Accounting Department

Requirements
  • 3-5 years of experiences in payroll accounting, payroll tax, or a closely related function
  • Experience reconciling payroll to a general ledger in a multi-state environment
  • Working knowledge of federal and state payroll tax requirements including 941s, SUI, and local taxes
  • Experience with garnishment processing and wage attachment compliance
  • Strong Excel skills (lookups, pivot tables, logical functions)
  • Comfort working in an ERP environment (we use Microsoft Dynamics 365 Business Central and Paylocity)
  • Demonstrated ability to communicate, work in a team environment, interest in team mentorship, and commitment to department and organizational goals

Preferred Qualifications

  • Experience in a high-growth organization
  • Background in nonprofit, government contracting, or public-sector services
  • Paylocity experience
  • Familiarity with ESOP administration or employee ownership structures
  • CPP (Certified Payroll Professional) designation or progress toward it
  • Experience with 401(k) audit support and Form 5500 preparation
